Policies + Procedures

The Pamper Cottage is a private studio created for personalized skincare, massage, makeup, and restorative experiences. These policies help protect the time reserved for each Visitor, maintain a safe and welcoming environment, and ensure expectations are clear before your visit.

By scheduling an appointment, purchasing a service, or participating in an event at The Pamper Cottage, you agree to the policies applicable to your visit.

Booking & Deposits

A 25% deposit is required at the time of booking to reserve all appointments. Your deposit is applied toward the total cost of your service at checkout.

Appointments may be rescheduled or canceled with at least 24 hours’ notice. When appropriate notice is provided, your deposit may be transferred to a rescheduled appointment one time.

Cancellations or rescheduling within 24 hours of the scheduled appointment will result in forfeiture of the 25% deposit. The deposit is also forfeited in the event of a no-show. A new 25% deposit is required to reserve another appointment following a late cancellation or no-show.

Repeated late cancellations or no-shows may result in a requirement to prepay future appointments in full or loss of online booking privileges.

The Pamper Cottage understands that genuine emergencies and unexpected circumstances occur. Reasonable exceptions may be made at Crystal’s discretion.

Wedding services, private events, and other specially reserved services may have separate booking and deposit requirements. When a separate written booking agreement applies, the terms of that agreement take precedence.

Arrival & Late Arrivals

Please arrive approximately 10 minutes before your scheduled time. Arriving significantly early may interrupt another Visitor’s appointment or the time needed to prepare the Cottage between services.

If you expect to arrive late, please contact Crystal as soon as possible. Every reasonable effort will be made to accommodate you; however, late arrival may require your service to be shortened, modified, or rescheduled to avoid affecting the next Visitor.

Arrival more than 10 minutes after your scheduled start time may be treated as a late cancellation when there is not enough remaining time to provide the service safely or appropriately. In that circumstance, the appointment deposit will be forfeited.

Health, Illness & Safety

Please provide complete and accurate information regarding allergies, sensitivities, medications, medical conditions, injuries, pregnancy, recent procedures, and other circumstances that could affect your service. Relevant changes should be disclosed before each visit.

If you have a fever, contagious illness, active infection, open or weeping lesions in the treatment area, or another condition that could place you, the practitioner, or other Visitors at risk, please contact The Pamper Cottage to reschedule.

Please do not come to the Cottage while knowingly contagious. If you arrive with a condition that makes providing the service unsafe or inappropriate, the service may be modified, postponed, or declined.

If you become ill within the 24-hour cancellation window, please contact Crystal as soon as possible. Reasonable exceptions to the cancellation policy may be made at Crystal’s discretion.

For safety reasons, pumpkin and hazelnut products may not be brought into The Pamper Cottage. This includes foods, beverages, skincare, cosmetics, and other products containing pumpkin or hazelnut.

Intake, Consent & Service Eligibility

Required intake and consent forms must be completed accurately before applicable services are provided. Depending on the service, additional informed consent, health information, or aftercare acknowledgment may be required.

The Pamper Cottage reserves the right to modify, postpone, or decline any service when a contraindication, health concern, medication, recent procedure, skin condition, injury, or other circumstance makes the requested service inappropriate or unsafe.

Services at The Pamper Cottage are cosmetic, wellness, relaxation, or educational in nature and are not intended to diagnose, treat, or cure medical conditions. When appropriate, you may be advised to consult a qualified healthcare professional before receiving a service.

Children, Minors & Guests

Services at The Pamper Cottage are available to Visitors age 10 and older, subject to service-specific age requirements.

Visitors under 18 must have consent from a parent or legal guardian before receiving services. A parent or guardian may remain in the treatment room when appropriate or when requested by the minor. A minor’s own comfort and consent will also be respected throughout the service.

Visitors ages 10–15 are eligible for gentle, age-appropriate skincare services and skincare education. Services for younger skin focus on healthy skincare habits, appropriate cleansing and hydration, sun protection, and addressing age-appropriate concerns without unnecessary or aggressive treatment. Advanced treatments, chemical peels, and certain technology-based services are not available for this age group.

Visitors ages 16–17 may receive additional services when appropriate at Crystal’s professional discretion. Certain advanced services may require additional parental consent, physician clearance, or may not be offered to minors.

Children under age 10 who are not receiving services should not accompany a Visitor to an appointment. Because services require Crystal’s full attention and the studio contains professional products, equipment, hot implements, and other potential hazards, The Pamper Cottage cannot provide supervision for children during appointments.

Adult guests and companions are generally not permitted in the treatment room unless their presence is necessary or has been approved in advance. Parents or guardians of minors, caregivers, interpreters, and support persons required for accessibility are welcome when appropriate.

These restrictions do not apply to scheduled parties, Tween/Teen Skin Ed Nights, group experiences, educational events, or other activities specifically designed to accommodate multiple Visitors.

Accessibility & Mobility Assistance

The Pamper Cottage welcomes Visitors of all abilities and will make reasonable efforts to accommodate individual needs.

If you require assistance transferring onto or off the treatment table, please arrange for a caregiver or support person to accompany you. For safety and liability reasons, Crystal cannot lift or physically transfer Visitors.

Please contact The Pamper Cottage before your appointment if an accommodation, additional time, positioning adjustment, or support person may be needed so the visit can be prepared appropriately.

Service Modifications

Every service is customized according to the Visitor’s needs, goals, comfort, contraindications, and professional assessment.

Products, techniques, equipment, modalities, pressure, positioning, or individual steps may be substituted, modified, or omitted when appropriate. When a product is unavailable, an appropriate professional alternative may be used without changing the value of the service.

You are encouraged to communicate throughout your visit. You may request a modification, decline a product or technique, ask to pause, or withdraw consent for any portion of a service at any time.

Chemical Peels & Aftercare

Chemical peels require specific informed consent and aftercare. Eligibility for a peel is determined according to skin condition, health and skincare history, medications, recent procedures, sun exposure, and other relevant factors.

Visitors receiving a chemical peel are expected to follow all aftercare instructions provided by Crystal, use the provided aftercare kit as directed, and follow applicable manufacturer instructions for the products included.

Failure to follow appropriate aftercare, including sun-protection requirements and restrictions on products or activities, may increase the risk of irritation, injury, pigmentation changes, or other complications and may affect treatment results.

Massage & Professional Draping

Massage and bodywork are provided solely for professional wellness and therapeutic purposes. Professional draping practices are used during massage, and only the area being treated will be uncovered as appropriate for the service.

Visitors are encouraged to communicate preferences regarding pressure, positioning, temperature, areas of focus, areas to avoid, techniques, tools, and modalities. Any portion of a massage or bodywork service may be declined or stopped at any time.

Sexual comments, requests, exposure, advances, touching, or other inappropriate behavior will result in immediate termination of the service and refusal of future services. These actions may also result in notification to law enforcement.

Events, Parties & Group Experiences

The Pamper Cottage may host bachelorette parties, wedding-related gatherings, Tween/Teen Skin Ed Nights, skincare education nights, private parties, workshops, demonstrations, pop-ups, and other group experiences.

Event-specific deposits, minimums, cancellation terms, attendance requirements, or agreements may apply and will be communicated before booking. When an event has a separate written agreement, those terms take precedence over the general appointment policies where they differ.

Participation in individual activities is voluntary. Visitors participating in product applications, demonstrations, abbreviated services, or other hands-on activities may be required to complete applicable intake or consent documentation.

For events involving minors, applicable parent or legal guardian consent requirements must be completed before the minor participates in hands-on services or activities.

Refunds & Service Concerns

Services are non-refundable once rendered.

If you have a concern about a service or experience an unexpected reaction following treatment, please contact The Pamper Cottage promptly. Crystal will make reasonable efforts to evaluate the concern, provide appropriate guidance within professional scope, and determine whether follow-up care or referral to another professional is appropriate.

Individual responses and results vary. Specific cosmetic, skincare, massage, or wellness results cannot be guaranteed.

Retail Returns & Exchanges

Unopened and unused retail products may be exchanged within 7 days of purchase.

Opened or used products generally cannot be returned or exchanged because of hygiene and safety considerations. If you experience an unexpected reaction to a product purchased from The Pamper Cottage, please contact Crystal promptly so the situation can be reviewed individually.

If an approved exchange is made for a higher-priced product, the difference will be due at the time of exchange. If the replacement product costs less, the difference will be returned to the original payment method when applicable.

Gift Certificates

Gift certificates are purchased at full face value and maintain their purchased value indefinitely.

Gift certificates may be used toward eligible services or retail purchases, including services purchased at an otherwise eligible discounted or member rate.

Gift certificates are non-refundable, cannot be redeemed for cash except where required by law, and cannot be used to purchase additional gift certificates.

The Cottage Society

The Cottage Society memberships are billed monthly and include the services and benefits associated with the selected membership tier.

Unused monthly services may roll over for up to two months from their original billing cycle. Credits remaining beyond the applicable rollover period expire and are not refundable.

Members may use eligible accumulated credits subject to the benefits and service limitations of their membership tier.

Memberships may be paused or canceled with at least 14 days’ notice before the next billing date.

Membership benefits, discounts, and promotional offers cannot be combined unless specifically stated otherwise.

Memberships and associated credits are non-refundable and are intended for use by the enrolled member unless otherwise expressly permitted by The Pamper Cottage.

Founding Visitor Benefits

Visitors holding Founding Visitor benefits retain the pricing, services, or legacy benefits associated with their individual founding arrangement for as long as those benefits remain valid under the applicable terms.

Founding benefits do not combine with The Cottage Society discounts, promotional offers, seasonal sales, or the Armed Forces Courtesy unless specifically stated otherwise.

Armed Forces Courtesy

Active-duty service members and veterans receive a standing 30% Armed Forces Courtesy on eligible services and retail purchases.

The courtesy applies to the individual service member or veteran and may not be transferred to another person. Proof of current or prior military service may be requested.

The Armed Forces Courtesy may not be combined with other discounts, promotions, Founding Visitor benefits, or special pricing unless specifically stated otherwise.

Each year, beginning on Military Spouse Appreciation Day and continuing through Mother’s Day, spouses of current service members and veterans receive a 25% Military Spouse Appreciation Courtesy on eligible services and retail purchases.

Promotions & Special Offers

Seasonal promotions, event specials, introductory offers, and other discounts are subject to the terms stated with the individual promotion.

Unless specifically stated otherwise, discounts, promotions, membership benefits, and other special pricing cannot be combined.

Promotional offers have no cash value and may be limited by date, availability, service, product, or eligibility.

Payments

The Pamper Cottage accepts major credit and debit cards, PayPal, Venmo, and cash. Gift certificates and eligible membership credits may also be applied to qualifying purchases.

Deposits collected at booking are applied to the remaining service balance. Any balance due must be paid in full at the conclusion of the appointment.

The Cottage does not maintain cash for making change. Visitors choosing to pay in cash should bring the appropriate amount.

Returned or reversed payments must be resolved before additional appointments may be booked. Improper or fraudulent chargebacks may result in suspension of booking privileges.

Gratuity

Gratuities are never expected. If you choose to leave one, gratuities may be accepted through available payment methods at checkout.

Privacy, Client Records & Photography

Personal information provided through intake forms, consultations, client records, and private conversations is maintained for legitimate business and client-care purposes and handled with appropriate discretion.

Photography and video are governed by The Pamper Cottage’s Media & Photography Authorization. Visitors may choose whether to authorize photography or video for private charting, professional education or training, social media, or marketing.

Consent to photography or promotional use is not required to receive services and may be revoked at any time.

Professional Conduct & Boundaries

The Pamper Cottage is committed to maintaining a professional, safe, respectful, and welcoming environment.

Harassment, discriminatory or threatening behavior, sexual conduct or requests, abusive language, deliberate violation of professional boundaries, or behavior that jeopardizes the safety or comfort of others will not be tolerated.

The Pamper Cottage reserves the right to immediately discontinue or refuse service when behavior, requests, health or safety concerns, intoxication, or other circumstances make continuing the service unsafe, inappropriate, unethical, or outside professional scope.

Depending on the circumstances, termination of a service for inappropriate conduct may result in forfeiture of the appointment payment and refusal of future bookings.

Inclement Weather, Emergencies & Studio Closures

If hazardous weather makes travel unsafe, appointments may be rescheduled without penalty and the existing deposit will transfer to the rescheduled appointment.

If The Pamper Cottage must close or delay services because of severe weather, power failure, building emergency, illness, or another circumstance that prevents safe operation, affected Visitors will be contacted and appointments will be rescheduled without penalty.

If you believe conditions make it unsafe for you to travel, please contact Crystal as soon as reasonably possible.

Personal Belongings

Please keep personal belongings with you and avoid bringing unnecessary valuables to your appointment. The Pamper Cottage is not responsible for personal items that are lost, misplaced, damaged, or left behind except to the extent required by law.

If you believe you have left an item at the Cottage, please contact Crystal as soon as possible.

Pricing & Policy Changes

Service and retail pricing may change as products, supplies, services, and operating costs change. Current pricing is reflected in The Pamper Cottage’s booking system and official website.

Policies, procedures, membership terms, and service requirements may also be updated as the Cottage grows or as professional, regulatory, safety, or operational requirements change.

The current published version of these policies applies to new bookings and purchases unless a separate written agreement provides otherwise.
